Ready for Your Webcam? How to Prepare for a Remote Notarization Session

You’ve scheduled your first remote notary appointment—now what? While the process is designed to be seamless, a little preparation goes a long way in ensuring your session is completed in minutes rather than an hour.



1. Tech Check: Camera, Mic, and Connectivity

You don’t need a professional studio, but you do need a stable internet connection. Use a device with a clear camera (most modern smartphones actually work better than laptops for ID capture). Pro Tip: Avoid public Wi-Fi. It’s often too slow for the encrypted video feed and poses security risks.


2. Have Your Physical ID Ready The system will ask you to take a high-resolution photo of your government-issued ID (Driver’s License or Passport). Make sure you’re in a well-lit room to avoid glare on the plastic, which can cause the automated "Credential Analysis" to fail. Ensure your ID is current—expired documents are the number one reason for session cancellations.


3. Know Your "Secret" History To verify your identity, you’ll likely face Knowledge-Based Authentication (KBA) questions. These are timed, "out-of-wallet" questions like "Which of these addresses were you associated with in 2014?" Have your memory sharp! You generally have two minutes to answer a set of five questions. If you have moved frequently or have a complex credit history, take a moment to refresh your memory on past zip codes or vehicle registrations.


4. The "No-Fly" Zone Find a quiet, private space. Because we are legally required to ensure you are signing of your own free will, I need to see that you aren’t being coached or coerced by someone off-camera. If children, pets, or colleagues are interrupting, it can compromise the integrity of the video recording that I am required to archive.
